The Ward administrator is responsible for General admin functions and all stock control duties at ward/unit level. The incumbent is the link between Pharmacy and ward/Unit with a dual reporting line to Pharmacy and Unit Manager. The incumbent will communicate to both Pharmacy Manager and Unit Manager ensuring that both parties are well informed and in agreement to all aspects pertaining to the role. The incumbent will also responsible for receiving all new patients, visitors, and doctors in the ward and to make them feel welcome.

  • Grade 12 or equivalent NQF level 4 qualification
  • Intermediate computer skill
  • Hospital SAP experience would be advantageous

  • Two or more years of experience in a private hospital would be advantageous
  • Stock Management working experience

  • Controlling of Surgical and Ethical stock at ward/unit level
  • Daily capturing of all Ward/Unit Charge Sheets by billing all stock and/or equipment used.
  • Develop a clear identification system for the stock
  • Ensure that all aspects of the replenishment system between ward/unit and pharmacy is actioned as per SOP.
  • Assist nursing staff with stock queries and investigations, until the query is closed off
  • Communicate with UM & PM regarding the follow-up of all back orders, out-of-stock items etc. At times ensuring items are received.
  • Facilitate cycle counts according to SOP, ensure weekly clearing of the un-binned list and stock take processes within ward/unit
  • Review weekly stock reports, communicate discrepancies noted, investigate and communicate close-off.
  • Adhere to stock take requirements
  • Accurate & timeous collation of patient documents to enable final bill audit and file release.
  • Ensure all outstanding documentation is obtained and placed in the patient file prior to discharge or transfer from ward/unit
  • Check patient file to ensure that all surgical and ethical stock as well as equipment is recorded on the patient charge sheet as per actual usage
  • Daily patient credit policy to be adhered in accordance with the pharmacy requirements, ensuring all credits are sent to pharmacy timeously and no delays in file release due to an incomplete credit process
  • Building and maintaining strategic work relationships: Stock controllers, Ward PA, Unit Manager and Nursing staff
  • Carry out all maintenance requisitions, stationary, equipment etc duties as guided by UM.
  • Maintain a friendly and professional manner in all interactions
  • Ensure effective communication with all internal and external stakeholders
  • Facilitate the patient’s journey from admission to discharge
